What Makes this Job Awesome

The Purchasing Coordinator works with vendors to provide support for internal customers. The Purchasing Coordinator interacts with interdepartmental and 3rd-party personnel to process logistics, shipping, and inventory paperwork. This position will accurately process paperwork, maintain up to date and organized records, and problem solve to resolve related Operations issues.

The Purchasing Coordinator will primarily utilize ERP and MS-Office system-based tools in the daily performance of the position.

Key Responsibilities 

  •  Help maintain, setup, and update all items within our ERP system
  • Daily use and updating of ERP and non-ERP ordering systems, including generating of PO’s, sending PO’s to vendors, general ordering of materials and services, monitoring status of open orders with vendors, and active communication with vendors and internal customers/departments on updates of open orders
  • Help coordinate logistics of materials and services, domestically and internationally, to meet our various internal and external customer requirements
  • Receive PO’s into our ERP system once product is received or services are rendered
  • Audit and approve receiving and accounts payable paperwork, along with proper organization, filing, and storage of paperwork
  • Work with Warehouse department on inventory discrepancies that require auditing of receiving paperwork and ledgers
  • Update a ledger with complaints against vendors, as they come in, and notify Purchasing department of log updates
  • Work with appropriate parties to compile paperwork and file freight claims as needed
  • Perform other tasks as requested by immediate supervisor, manager, or general manager

Requirements

Education, Experience and Skills 

  • Highschool diploma, or equivalent certificate
  • Business Administration degree is helpful, but not required
  • Previous relevant experience working in an office environment – preferably as a Clerk, Administrative Assistant, or Receptionist
  • Excellent interpersonal and communication skills (written as well as verbal)
  • Detailed-oriented, problem solving, self-auditing skill
  • Ability to manage and prioritize schedule of daily/monthly tasks
  • Self-motivated, individual contributor and team player
  • Working knowledge of MS Office (Excel, Word, Outlook) and general business systems
  • Able to learn and adapt in a growing environment
